At All Belong, we believe every person is created in the image of God and has a story worth honoring. We share photographs, video, and personal stories to reflect our mission and to demonstrate how students are becoming known, needed, and experiencing belonging in Christ-centered schools.

This policy applies to:

• Photographs
• Video recordings
• Audio recordings
• Written stories
• Personal testimonies
• Direct quotes
• Name attribution

Media and story content may be used in:

• Printed publications (reports, brochures, newsletters)
• Digital communications (website, blog, email)
• Social media platforms
• Video presentations
• Educational materials
• Fundraising and advancement communications

3.1 Written or Electronic Consent

All Belong seeks clear, informed consent before using an individual’s image, name, or personal story in identifiable ways. Consent may be obtained through written or electronic release forms.

3.2 Minors

For individuals under 18 years of age, consent must be provided by a parent or legal guardian before identifiable photographs, video, or personal stories are used.

3.3 School Photography

When photographing in school settings, All Belong collects media releases in advance for identifiable use of student images.

If a student’s face is clearly recognizable, even within a group setting, a completed release form is required. Photographs used without accompanying names, personal details, or story content will be used in ways that remain respectful and non-identifying. Images where no individual is clearly recognizable, such as wide-angle or back-of-head shots, may be used without a release, provided no names or personal details accompany them. All Belong will make reasonable efforts to ensure such media is respectful and non-identifying.

3.4 Individual Stories and Testimonials

When sharing an individual’s story, testimony, or direct quotes in publications or promotional materials, explicit written consent is required. Individuals may indicate preferences regarding name usage and anonymity.

All Belong may edit content for clarity or length while preserving the integrity and intent of the story shared. We acknowledge that personal stories belong to the individuals who share them and will not materially alter their meaning without permission.

3.5 Event Photography Notice

For public events, conferences, and professional development gatherings primarily attended by adults, visible notice may be provided indicating that photography or video recording is taking place.

Attendance at such events serves as acknowledgment that group images may be used for promotional or informational purposes.

If an individual is featured prominently, interviewed, or asked to share a personal story or testimonial, written consent will be obtained separately.

3.6 School-Provided Consent

In some cases, partner schools obtain media consent from families that includes permission for use by affiliated organizations or partners. All Belong will rely on such consent when it has been clearly communicated and documented by the school.

When feasible, All Belong will also collect its own release forms to ensure clarity of permissions, especially for identifiable images, stories, or broader publication use.

When there is uncertainty about whether an individual is identifiable or whether consent has been obtained, All Belong will seek explicit permission before use.

We are committed to honoring the dignity of every person whose image or story is shared.

This means:

• We will not use media or stories in ways that are misleading, exploitative, or intrusive.
• We will avoid sharing sensitive personal information without explicit permission.
• We will portray individuals in ways that reflect their strengths and full humanity.
• We will use person-first language in our communications.

Individuals may indicate preferences regarding:

• Use of full name
• Use of first name only
• Use of a pseudonym
• Anonymous participation

All Belong will honor stated preferences.

Photographs, video, and other media captured by All Belong staff or contracted photographers are the property of All Belong.

Media and story content may be used by All Belong and trusted service providers or partners acting on our behalf (such as designers, printers, videographers, or distribution platforms), and will be used only in alignment with the permissions granted in a signed release form. Unauthorized reproduction or use of All Belong-owned media is prohibited.

If an image or video is publicly shared by a partnering school or organization, All Belong may share or repost that content for promotional or informational purposes consistent with our mission and values.

When possible, we will credit the original source.

Individuals may withdraw consent at any time by contacting All Belong’s Communications team in writing.

Upon receiving a written request:

• All Belong will make reasonable efforts to discontinue future use.
• We will remove digital content where feasible.
• Previously printed or distributed materials may not be retrievable.
